What makes us different
Three things worth knowing before you sign with anyone.
Including us. These are the terms that decide what a copier actually costs you over five years, and they are rarely the ones a quote leads with.
You own the machine
You buy the copier outright and attach a service agreement to it. That's the whole structure. There is no lease, no sixty-month term, and no evergreen clause that silently renews if you miss a written notice window.
If you ever want to leave, you keep the machine. It's yours.
Pay for the colour you actually use
A memo with your logo at the top is not the same as a full-page photograph, and you shouldn't be billed as though it were.
Kyocera machines meter colour in three coverage tiers. We bill what the meter says. Most dealers charge one flat colour rate for every page — which means light pages quietly subsidise heavy ones.
One technician, start to finish
The person who answers your call is the Kyocera-certified technician who shows up, diagnoses the machine, and fixes it. No dispatch queue, no ticket hand-off, no territory transfer.
You will learn one name and one number.

"Scan to email stopped working" is almost never a copier fault, and it's the reason so many scan buttons go unused. If your office doesn't have an IT person, that's usually where the machine quietly stops earning its keep — and where a lot of technicians tell you to call somebody else.
Scanning that actually works
- Scan to email — SMTP authentication, app passwords, Microsoft 365 and Google Workspace relay
- Scan to SMB or shared folder, including the SMB changes that broke older setups
- Scan to a folder on a specific PC, and scan to USB
- Address books built out, so nobody retypes an address every time
- LDAP or directory lookup where you have one
Printing that reaches everyone
- Drivers deployed to every workstation — not just the one nearest the machine
- Print server and print queue setup
- Static IP or a DHCP reservation, so the copier stops vanishing off the network
- Printing from phones and tablets
Keeping it locked down
- Secure print and PIN release — so payroll isn't sitting in the output tray
- User accounts and department codes where you need to track usage
- Firmware and security updates
- Hard drive handling when a machine is retired or traded in
This is part of your service agreement, not a separate line item. On a time-and-materials call it's billed at the posted hourly rate below — same rate as any other work.
Supplies & meter reads
Nobody should have to count pages or order toner.
Two of the most tedious recurring jobs in a small office, and both of them should happen without anyone thinking about it.
Meter reads submit themselves
No monthly email asking someone to walk to the machine, dig through the panel menus and type a number into a form. Your machine reports its own counts.
If your current vendor still emails you a meter-read request, that is a choice they made, not a limitation of the equipment.
Toner arrives before you run out
Levels are monitored and a replacement ships when the machine is genuinely getting low, not when somebody notices the print going pale on a Friday afternoon with a bulletin still to run.
One spare on the shelf. Not a cupboard full of cartridges bought in a panic.
Don't throw away the empty black bottle
On these machines the empty black toner bottle becomes the new waste toner container. It goes back in. Most offices bin it without knowing, then buy a waste container they already had.

These are time-and-materials rates for service calls. Machines under a Logos service agreement are covered by that agreement — these rates don't apply to them.
Parts and supplies are billed at cost plus a stated markup, itemised on every invoice. You will always see what the part was and what it cost.

Straight talk
Get a second number. Even if you never switch.
An incumbent's price moves for exactly one reason: a real competing quote sitting on somebody's desk. If your board or council already requires you to document competitive quotes, you need a second number anyway. It may as well be an honest one.

- Very high black & white volume. The large dealers can often beat us on cost per page there. We'll still quote it, and if their number is better we'll say so plainly. You'll have paid nothing and gained a figure you can hold them to.
- Competitively bid public contracts. These are usually decided on financing structure rather than service. We'll bid if you invite us, with no illusions about it.
- One vendor for phones, cameras and cabling too. That's not us. We do copiers, and the network and scanning work around them, properly.
